Office Administrator Position

Are you passionate about Women’s Health and client service?  We are actively recruiting for a Fulltime Office Administrator at our new Guelph Women’s Health Associates, 1453 Gordon Street Guelph ON.  As our front-line Office Administrator, you will be the face and voice of our unique women’s health clinic providing Physiotherapy, Naturopathic Medicine, Osteopathy, Yoga, Pilates and Social Work.  Our clients and professional staff would be looking forward to their interactions with you.

Your Administrative work is thorough, organized and detail orientated.  You will have strong computer skills, including Microsoft Office and demonstrate ability to learn our in-house physiotherapy software quickly.  Your previous work experience demonstrates success in providing exceptional and professional client service and strong administrative support for our professional staff and clients.

Responsibilities include:

  • Answering the telephone, greeting, and assisting clients
  • Responding to inquiries and helping clients with problems
  • Processing incoming and outgoing mail, courier and faxes
  • Providing administrative support for our clinical staff including scheduling, billing, receiving payments and collection of receivables using the resources of our administrative staff at other sites in our organization
  • Typing letters to physicians
  • Assisting with organizing and follow up marketing calls under the direct supervision of the Physiotherapy Clinical Director
  • Monitoring and ordering office and clinic supplies
  • Assisting with photocopier/fax maintenance
  • Maintaining a professional and clean office appearance
  • Acting as the building liaison for 3 other tenants in the building, which primarily include relaying messages, accepting rent and making monthly deposits

 

Qualifications:

  • 3-5 years experience, although motivated mature individuals with less experience are encouraged to apply
  • Understanding of medical terminology is an asset
  • Health-related educational background is preferred
  • Familiarity with Practice Perfect Software, Telus, WSIB, MVA/HCAI billing is an asset
  • Must be willing to work 3 evenings a week until 8 p.m., Monday through Friday office hours
